ABOUT THE ROLE
This position is responsible for supporting Information Management Systems (IMS) related to the effective management of the Region’s electronic information holdings including gathering, documenting and confirming Department requirements, ensuring consistency with corporate information governance policies, standards and best practices; conducting business process analysis to support efficiency improvements through the application of Information Management solutions, and coordinating Information Management system administrative and maintenance projects and tasks.
WHAT YOU'LL BE DOING
• Assists, coordinates, and collaborates with partners in the creation and design of charters, project scope, and documentation for Information Management System (IMS) implementations, process improvement, or clean-up projects.
• Applies business analysis knowledge and expertise to examine and determine Departmental business process analysis or needs/process improvements and ensures a timely and effective solution is provided to meet operational requirements.
• Identifies requirements for new potential metadata elements and values and evaluates existing structures making recommendations for improvement or alignment of information management best practices and assists in the integration of existing and new technologies.
• Identifies and maintains naming conventions, commonly used file codes, and document type metadata schemas.
• Ensures implementation of IMS solutions are in alignment with York Region information governance standards.
• Provides operational and core support to existing information management solution users; participates as core functional support for roll-out of information management systems; executes maintenance and clean-up projects.
• Coordinates with other functional experts regarding system-based improvement projects including, but not limited to, transitory record clean-up, metadata validation and clean-up, file part and public folder clean-up, security groups clean-up, file plan and document security clean-up, email integration, auto-classification testing, eDisposition, and workflow systems integration.
• Provides reporting expertise, IMS usage and enhancements, information architectures, and file structures to ensure that clients are using the system efficiently and effectively.
WHAT WE'RE LOOKING FOR
• Successful completion of a Community College Diploma in Records and Information Management, Computer Programming or approved equivalent combination of education and experience.
• Minimum five (5) years demonstrated experience in Information Management and/or the ongoing administration and maintenance of compliance and information management functionality in Electronic Information Management Systems.
• Experience in project management, and ability to formulate and implement quality improvement and change management processes.
• Sound knowledge of Information Management Solutions (e.g., eDOCS, M365, etc.) or Records and Information Management Systems that include retention scheduling.
• Demonstrated ability in the Region’s core competencies.
• Advanced MS Office Suite skills including the use of virtual platforms for conducting meetings and/or presentations.
